How can you build rapport with remote users?

Simple instructions go a long distance. Depending on the tool of choice, especially when you're bootstrapping using a combination of tools such as Zoom, Miro, etc. instead of using a platform that also handles recruiting such as UserTesting, I usually prepare instruction materials on how to set up their cameras, screen sharing access etc. on their devices (iOS/Android) beforehand to lessen technical issues on the day of.

One way i have applied this professionally is by always sharing set of document with user friendly language including images and instructions so that they understnnd the process. Then having pre session communicating and make sure that im here to assist. When we are not physically present, we can still establish rapport by following these strategies: 1- Active listening 2-Personalization 3-Empathy 4-Encourage Feedback 5-Celebrate Successes 6-Flexibility Building rapport with remote users takes time and effort, and it may require different strategies for different individuals. The goal is to create a supportive and connected virtual work environment where everyone feels valued and included.

I always ensure that my documentation is completely arrayed before me, everything I could foreseeably require I want to have easy access to. This ensures that I am comfortable, and in turn, more confident when my participants join the call. This not just includes having access to my documentation, like note sheet or moderators guide, but also arranging all of my computer windows/tabs appropriately. For example, having too many tabs open in a window can be distracting, can cause confusion if you forget which tabs you were working in, and can slow down your OS.

Preparing well also means preparing well for any mishaps that may occur during the session. While it may be obvious to prepare questions well, it is also important to sound check, camera check, and ensure you know how your finished recording will show up. For this, it can also be a good idea to have a dry run. Also, ensure you are monitoring for any internet connectivity issues and have a backup in case there is any problem. While both you and your candidates time is highly valuable, you want to make sure the preparation is spot on, but also know that rushing into things can make either party anxious. Once you have rehearsed and researched well, allow yourself to take a deep breath and begin with confidence.

Go on and prepare for different scenarios, a connection characterized by agreement, scan the grounds before you focus on a higher level

First, make sure the participant sees you and hears you well. Introduce yourself, and tell something personal to make them feel closer to you. Sometimes an object in the background can serve as an icebreaker to show your interest in the participant. “I see you’re playing the guitar, that’s cool!” Be a listener. Listening is the most critical skill for researchers and human beings. Keep eye contact, let the participant finish speaking, and wait a little bit before you react. Repeat after the main points the participant said, in your own words, that’s how you can show that you truly have listened to them, and you can make sure that you understand them correctly. Be mindful, curious, and non-judgmental. Show empathy.

What I find works best for me is to maintain an informal and personal tone right from the start. It's always a great icebreaker to kick things off by commenting on something about the other person, whether it's their clothing, like, 'You're wearing a high-neck sweater; is it getting cold where you are?' or something related to their environment, such as, 'I see you're a fan of reading with all those books!' People tend to open up and share more after you've made a personal connection like that.

People are more comfortable with someone that they can relate to. Having a casual conversation at the start will help people see you as a person instead of a "company" and they'll be more open to giving you feedback. I try and avoid tacky icebreaker questions and go for the basics. "Where are you from? How do you like living there?" "Is that your cat in the background? Can I meet them?" "I love the layout of your workspace, where did you get, xyz?" Allowing that brief connection may give you more insights than you ever thought imaginable.

In remote communication, the sense of connection feels distant. The person on the other side of the screen is not the same as the person next to you. He often feels like a character, much like in a movie. As a UX researcher in the field of telemedicine, I often conducted interviews on sensitive topics. It was my responsibility to maintain a boundary, ensuring the comfort of my interviewees. Unfortunately, once I crossed this line - I brought the respondent to tears with my questions. I saw that the topics were too sensitive, but in my pursuit of valuable insights, I continued. It's a wonder she didn't slam the laptop shut. I found out what I wanted, but I'm still ashamed. This would have never happened if we had met in person.

As soon as your participant joins the testing session room, your rapport begins shifting. Once a participant enters, I welcome them, introduce myself, and ask who I am speaking with so they can say their name so I know how to pronounce it. Then, I always try to share something about myself, like how the weather in my city is that day, or if I have some upcoming weekend plans I'll share those. That way I can offer something about myself. Participants often act reciprocally when you give them personal details.

One thing I like to do is tell people where I am in the world. I do a lot of research in South East Asia. I'm based in Singapore and I'm Australian. If I don't share explicitly that I'm based in Asia, folks might assume I'm back in Aus and feel they need to provide much more context their answers. I find by sharing I'm also in the same location it helps to build rapport with the participants.

It's important to be respectful to the work they provide, whether it's technical or opinion based. Everyone has a perspective and it's helpful for remote users and other stakeholders when the session is grounded in positivity and objectivity. I have found it's great to provide feedback by highlighting the goods first even if it's miniscule. Everyone becomes more responsive to the criticism afterwards and are open to addressing it.

To build rapport in remote settings, consider these key points: Cultural Sensitivity: Understand cultural norms, like eye contact preferences, to tailor your approach. Linguistic Adaptation: Use translation or multilingual staff for diverse language needs. Environment: Adapt to users' physical settings, switching from video to chat if needed. Time Zones: Use scheduling tools that display multiple time zones for convenience. LEARN Model: Apply this framework (Listen, Explain, Acknowledge, Recommend, Negotiate) for effective cross-cultural communication. Interruptions: Maintain composure during glitches and use the time to recap. Agility: Be open to real-time feedback and adjust your approach accordingly.

4 ways I build remote participant rapport: 1. Level the Playing Field: Use inclusive language like "we," "let's," and "we're" to create an equal, non-authoritative, conversational environment, regardless of age, ethnicity or background. 2. Mirror their Lexicon: Observe their speech and adapt yours to match their language, tone, and style, which fosters comfortability and authentic responses. 3. Avoid Correcting Participants: Embrace diverse perspectives without correction, focus on understanding their beliefs and behaviors which clarify the "why" and "how." 4. Positive Reinforcement: Boost confidence by complimenting their feedback and show appreciation for their insights, which validates and encourages them to share more opinions.

In order to understand and connect with your user, it'S important to understand where they are at. Here are a few things I make sure of: 1. Ensure they're at ease by aligning with their schedule, respecting any commitments they have post-interview. 2. Take the role of a timekeeper, so they can focus solely on providing feedback. 3. Observe and mirror their language use, enhancing comfort and openness. 4. Remind them it's ok to speak up if they need a break or if something pops up. Virtual chats can miss those small signals, so it's all about clear, open dialogue. By placing the user at the center, you unlock deeper insights and foster trust.

When considering possible channels of communication for UX research, we should also maintain a flexible mindset. Not all participants have access to a laptop or a quiet place to conduct an interview. Some participants may not feel safe being on camera or may not want to be recorded. Remaining flexible and adaptive in how we connect with remote users is one of many ways for us to be more inclusive as UX researchers.

Diverse channels, when managed well, amplify the quality of remote interviews, making them more interactive and insightful. Juggling these tools requires a bit of strategy: 1. Prime participants with a timely reminder, ensuring they have the link and time. 2. Deep-dive into your tools, ready to guide users, whether it's about screen-sharing or chat functionalities. 3. Start by clarifying the channels in play: screen-sharing, chat links, and more. 4. Stay patient; if they stumble, assist calmly. 5. Conclude with a thank-you email, addressing any queries. Smooth tech, clear guidelines, and a touch of patience—that's the recipe for remote interview success.

Synchronous Channels: Use video and audio for real-time, complex discussions. Both parties must be free. Asynchronous Channels: Emails and chats are great for flexible timing, follow-ups, and sharing resources. Screen Sharing: Ideal for demos but get user consent for privacy. Constraints & Ethics Bandwidth: High-quality video needs bandwidth. Have a phone backup. Accessibility: Use universally accessible tools. Privacy & Consent: Be transparent about data use and get explicit consent for recordings. By adeptly balancing these synchronous and asynchronous channels, technological constraints, and ethical guidelines, you can effectively build rapport in remote settings while maintaining both tech and ethical integrity.

UX research is often criticized for being extractive; closing the loop with our research participants is one of many possible ways to address that. While a thank-you message is an easy and necessary way to show appreciation to our participants, sharing a summary of the findings and, more importantly, the impact of the research, is an even better way to communicate the value of their participation. In select circumstances, we might also consider inviting our participants to be involved in the implementation of new services or products that result from the research.

Follow-up is an important step to maintaining a relationship with users. It communicates that you appreciated their time and insight, and also leaves open a space for additional collaboration.

-It shouldn't be too different from meeting a person in reality. -Smile and ask how their day is going today -You welcome them, show appreciation for their time and interest in the company or product -Ask how long they have been using the product or service and then dive into the key questions

There's a point to be made about making check points for yourself as a researcher and keep asking yourself "How do I feel about the rapport we're building?" and "What's the vibe am I getting?" Are you comfortable with your own answers? My own experience as a researcher has taught me that when people come together from different genders, languages, cultures, and age groups, what someone reads as "building connection" could easily become inappropriate for someone else. It's worth being intentional as a research professional, and being clear about your boundaries when you work on building rapport with your users.

Many users also have times where they're most active across contact channels, so it's important that proper analysis is carried to know when these peak periods occur. This makes the researcher achieve high user engagement and high feedback on the long run. Of course, will the use of multiple channels.

Alignment of vision is the foundation to create amazing things! Once you clearly define your vision and articulate it at every customer touch point, it becomes super easy for everyone to connect because they would totally connect with why we're coming together for a cause.
