Let me give a different perspective on it. I have years of experience being and leading volunteers. When you work with volunteers, one of the most important things is to create a team where everyone is respected in their role, starting from how you choose your volunteers. You set the tone of a friendly and respectful environment. Giving responsibility and trust in their skills is important. They will feel safe to ask questions and also make mistakes. I first address the feedback individually, and after that, we all address it as a team, with mutual feedback as well. Volunteer coordinators learn how to give feedback as well. I organize regular feedback sessions where everyone can share their thoughts openly. By leading with honesty and sharing constructive feedback myself, I encourage others to feel confident and valued in voicing their opinions.

It is important that any organisation ensures volunteers are respected and valued as they are supporting the work without expecting anything in return. While providing feedback, clear communication and tone matters the most. A sandwich method should be used by first providing feedback on how they are positively impacting with the time they spend and how their contribution matters to the organisation, then the areas of improvement and finally ending with a positive note again. If possible, one on one conversations are vital for the relationships to sustain. While mentioning any areas of improvement, an open discussion by asking the person on why the deliverables haven’t been met would make a larger difference in creating a safer space.
