It is less about achieving perfect alignment and more about keeping work moving. I set a couple of core overlapping hours for live discussions and document key updates so no one falls behind. It also depends on capabilities and competencies of the teams. Capable regional teams are often given the freedom to make decisions without waiting on approvals. Rotating meeting times helps share the inconvenience. The goal isn’t to sync everyone to the same schedule, just to keep momentum going.

    • Rotate Meeting Times Fairly: Instead of always favouring one time zone, rotate meeting schedules to ensure everyone occasionally meets during their regular working hours. • Use Asynchronous Communication: Not everything requires real-time interaction: document key discussions and decisions in shared spaces. • Standardise Processes: Use tools to minimise delays due to time zone differences. • Set Up "Follow-the-Sun" Support: Distribute tasks so that work progresses continuously across different regions. • Encourage Cultural Awareness: Understanding different work styles and holiday schedules improves collaboration and prevents delays.

Also, empowerment. Hire the right people, agree their goals, entrust them to do their jobs. Check out the book "Turn the Ship Around". A person with pride in their work will deliver far better than someone living under intense scrutiny, regardless of the pressure. So, agree the goals with the teams, communicate these via the various tools (slack, teams, jira, confluence, project management, ++). Once timelines and deliverables are agreed, use these tools to track regional team members deliverables. For global sync-ups, have all hands-on calls with 1~2 reps from each region when required. Always remember that the end goal is to have a successful project/product/solution, its not to have a 'wonderful' status updates every day.

In any global organisation, where colleagues work in various time zones, effective communication is of crux, along with flexible working hours to maximize the utility of overlapping time windows. Clear instructions for the job handlers, scattered in different locations, not only helps to get the desired work done in a timely manner, but also eliminates any possibility of delays due to ambiguity in the communication. A proper to-do/check list is a must, along with scheduled meetings/calls, in order to ensure smooth functioning of operations, despite of any geographical limitations.
