Keeping an open line of communication on item status, priority, and impact to the project are important when dealing with a large volume of change orders. Understanding what's required of deliverables, like backup or supporting documents, can help to get the change orders processed sooner. Additionally, scheduling regular touch point meetings with the respective parties and conveying the need to get quick resolution can help in these situations.

To negotiate them smoothly, start by fostering clear and transparent communication with all stakeholders from the outset. Ensure the contract clearly outlines how changes will be handled, including a well-defined process for documenting and approving modifications. When a change order arises, focus on presenting a detailed breakdown of the costs, timelines, and scope implications. Emphasise mutual understanding by aligning the change order with the client’s objectives while ensuring fair compensation for the additional work. Being proactive, flexible, and solution-focused will help minimise disputes, build trust, and keep the project on track.

Negotiating change orders in a construction project can be challenging, but with the right strategies, the process can be handled more smoothly. Clearly define the original project scope and the reasons for the change orders. Understanding the impact of changes on timelines, costs, and resources will help in negotiations. Perform a detailed analysis of the costs associated with the proposed changes, including labor, materials, equipment, and indirect costs. Be transparent about how we arrived at these figures when presenting them.

Maintain Change order requests. Prioritize change order requests. Communication is key. Maintain transparency. Fast track approval. Monitor, review and keep track. Frequent & major change orders only depict that scope management has been inefficient.
