Getting a remote team member back on track requires understanding, structure, and accountability. First, I check in to understand the root cause—is it workload, clarity, or motivation? Then, I set clear expectations with achievable milestones and regular check-ins. Leveraging project management tools keeps progress visible. Most importantly, I provide support, not just pressure—as Simon Sinek said, "When people are financially invested, they want a return. When they are emotionally invested, they want to contribute." A motivated team delivers.

Modern teams, in my opinion, should have a neutral mediator. The involvement of a mediator helps to identify problems and create a constructive dialogue between the parties. Often, deadlines are associated with different approaches to time management, the level of autonomy, and even communication norms. The mediator will be able to clarify expectations, take cultural considerations into account, and propose a strategy that suits everyone. Instead of accusations and discontent, it is important to establish constructive communication and define clear work processes. Clear agreements, executed by all team members, will help to avoid a repeat of the situation. Proper conflict management saves both time and money.

When a remote team member keeps missing deadlines, use techniques from the C.A.L.M program to get them back on track. First, listen actively—really try to understand their perspective. Paraphrase what they say to show you’re paying attention. Then, communicate assertively, express your concerns calmly and clearly, without being aggressive. Stay aware of your emotions and regulate them to avoid escalating the situation. Lastly, approach with empathy, try to understand what’s causing the delays and work together to find solutions. C.A.L.M helps create a positive, understanding environment that encourages growth, accountability, and collaboration.
