Give everyone a chance to contribute. I’ve seen this effectively done by providing a time limit, and as the leader of the meeting, making sure each person gets their time. If it’s a recurring meeting, start with different people each time. Some people are quiet. Asking those who tend to hold back for their opinion can bring an important perspective. When meetings are packed with many people or topics, having a clear agenda and following it will give more people the opportunity to contribute. Finally, providing interesting ways to get to know each other can be fun. Making time for people to share something about themselves, their week, etc. can facilitate connection and willingness to share during the meeting.

Managing remote meetings can be tricky, but I’ve found a few strategies that work wonders. ✅ Set a Clear Agenda – Sharing an agenda beforehand keeps discussions focused and gives everyone time to prepare. ✅ Rotate Speaking Opportunities – I sometimes call on quieter team members or use a ‘round-robin’ approach to ensure every voice is heard. ✅ Use Chat & Polls – Not everyone is comfortable speaking up, so encouraging input through chat or quick polls helps engage everyone. ✅ Assign a Moderator – Having someone facilitate the flow prevents the loudest voices from dominating.

For inclusive remote meetings, strategic facilitation is essential. Establish well-organised schedules with distinct time allotments. Use engaging Q&A sessions and effective polling tools to promote active participation. Make use of renowned video conferencing systems that offer incredible features, such as breakout spaces for targeted conversations. Foster a collaborative environment by establishing clear communication protocols. Encourage every team member to contribute their valuable insights. Employ highly searched techniques like "round-robin" sharing or digital whiteboards to ensure equal airtime. This transformative approach guarantees unparalleled engagement and powerful outcomes.
